How to Run an Employee Gifting Programme Without a Spreadsheet

Most companies start with a spreadsheet of birthdays and a WhatsApp group, and it works until the team passes about forty people or opens a second office.
A programme is simply the same intentions written down: which moments you mark, what each one is worth, who approves the expensive ones, and how the gift reaches someone who works from home.
Pick the moments first
Two moments run themselves once you have the dates: birthdays and work anniversaries. Everything else — onboarding, Eid, National Day, recognition, year-end — is better released on approval, because the date moves or the list changes.
Set a budget and an approval threshold
An annual budget tells Finance what the year costs. A threshold tells everyone which gifts need a human to look at them. In practice, a threshold of two to three times the standard gift value keeps ninety per cent of gifts moving without a meeting.
Let people choose where you can
Sending a value rather than an item removes the guesswork and the waste. Recipients pick from a shortlist you approve, so the spend stays controlled and nothing ends up in a drawer.
Solve the address problem once
Remote and hybrid staff are where most programmes stall. Collecting home addresses through a manager is slow and uncomfortable. Have each recipient enter their own address privately, and keep the street address out of the buyer's dashboard — the emirate and area are enough for planning.
